A re-Fuelling charge of £30 + Fuel will be made if the minibus is returned without a full tank of fuel.

Kennet District Minibus Risk Assessment
It is the hirers and nominated drivers responsibility to read, understand and comply with the minibus risk assessment.
Our minibus risk assessment is based on that from HQ.

A valid Minibus Permit (section 19) will be required when using the Kennet District Minibus.

DVLA Drivers license check
It is required that each nominated driver is to complete the online DVLA driving license information viewing request form. The single use code you receive should be sent to the booking secretary for inspection within 21 days of minibus collection.
Kennet District Minibus Driver Registration Form
Each nominated driver is required to complete and submit a driver registration form. This will be used alongside the DVLA drivers information check to ensure that you qualify to drive the Kennet District Minibus.

Roadside Assistance
a) What is covered:
i) The AA will assist you when you are stranded on the highway at least a quarter of a mile away from your home address, following a breakdown. All vehicles have access to this service. The AA will seek to effect a roadside repair if, in the reasonable option of the patrol, or appointed agent, this can be achieved within a reasonable time.
ii) If, following a breakdown only, a patrol or appointed agent cannot fix the vehicle within a reasonable time, it will be taken to the AA’s choice of appropriate local repairer or, alternatively, to a local destination of the driver’s choice, provided it is no further. It is then your responsibility to instruct the repairer to make any repairs required any contract for repair will be between you and the repairer, and it is your responsibility to pay them. The AA does not guarantee that any recovery to an appropriate local repairer will be within the opening hours of the repairer or that the repairer will be immediately available to under take any required repair.
b) What is not covered
i) Roadside Assistance does not cover any additional transport or other cost that you may incur, whether as a result of the vehicle being towed or otherwise.
ii) There is no right to any form of recovery following a road traffic accident. (Other terms and conditions’ to this section) (including but not limited to a local tow).
iii) Matters excluded under ‘Other terms and conditions’ to this section are also not covered.
iv) Assistance following a breakdown or accident attended by the police or other emergency service, until the services concerned have authorised the vehicle’s removal. If the police or emergency service concerned insist on immediate recovery by a third party, the cost of this must be met by you.
Relay
a) What is covered
i) Relay is available if you are stranded on the highway more than a quarter of a mile from the driver’s home address following a breakdown of the vehicle and the AA cannot arrange a local repair within a reasonable time.
ii) Relay provides recovery of the vehicle (including a caravan or trailer which was on tow at the time, provided it is within the geographical limits) the driver and up to a maximum of sixteen passengers (see ‘Breakdown – General terms and conditions’) to a single destination of your choice on the UK mainland or in Northern Ireland. If there are more people than the maximum allowed, the AA will seek to arrange, but will not pay for, their onward transportation.
b) What is not covered
i) recovery of any vehicle which is at or within a quarter of a mile of the driver’s home address.
ii) a second or subsequent Relay, after the covered vehicle has been recovered following a breakdown.
iii) the recovery of any vehicle that the AA considers would be dangerous or illegal for the AA to load or transport (including, but not limited to, over laden vehicles).
iv) assistance following a breakdown or accident attended by the police or other emergency service, until the services concerned have authorised the vehicle’s removal. If the police or emergency service concerned insist on immediate recovery by a third party, the cost of this must be met by you.
v) the AA can help in arranging, but will not pay for, the following: overnight accommodation, or transportation for passengers not accompanying the vehicle.
vi) ferry costs.
vii) recovery following a road traffic accident.
viii) the recovery of horses or livestock.
ix) matters excluded under ‘Other terms and conditions’.
x) any incidental expenses that may arise during a recovery. The AA cannot accept any cost for passengers who do not accompany the vehicle while it is being recovered under Relay.
Insurance policy updates
Insurance company MUST be notified at least 2 weeks in advance of any existing licence infringements.
i) Claims in last 5yrs (even if it was not your fault)
ii) Driving Convictions in last 5yrs… conviction code required.
£30 insurance administration cost will be incurred for EACH driver update required. (payable in advance)

Kennet District Stores
The District Stores is currently located on the Greenham Business Park near the Venture West building.

Kit & Minibus Collection
Generally, the booking secretary will make collection/pickup arrangements with you at point of booking/confirmation or closer to the time of hire.
Collection in most cases will be from the district stores, however in some circumstances where back to back books happen it makes more sense for you to collect f collect from the previous hirer… again the booking secretary will advise on who to contact if this happens.
Re the Minibus, normal collection is from Greenham Business park. However, Newbury based collection/drop off from Chandos Road area can be arranged too.
NOTE: Kit & Minibus Collection is by appointment ONLY, you will not be allowed to just pickup the keys.. so please don’t ask!
When do I pay
It is expected the booking will be paid for ASAP after having received confirmation of the booking being accepted.
If payment is not received and another request comes in for the same slot, you will be at risk of loosing it.
